Shipping Policy
Orders are prepared as soon as payment clears and go out by tracked post. Checkout is the system of record for what you pay: the rate, taxes, and delivery estimate for your destination are all shown before you confirm.

1. Processing and dispatch
Units are prepared to order, which means each drive is written and checked before it goes out rather than pulled off a shelf. In-stock orders are dispatched within one business day of payment clearing. Business days are Monday to Friday, excluding US public holidays.
Orders placed late in the day, at a weekend, or on a holiday are processed the next business day. If something is going to take longer than the window shown at checkout, we email the address on your order and tell you rather than letting you wonder.
2. Where we ship
You choose a destination region on the order page before checkout, and the correct rate and country list are applied to your order.

If your country is not listed, email team@portablemind.io and ask. We add destinations when we can post to them reliably and lawfully.
We ship to residential addresses, business addresses, and PO boxes. We do not ship to freight forwarders, and we may cancel and refund an order addressed to one, because a forwarded parcel is untraceable for claims purposes and defeats the region gating above.
3. Shipping rates
One flat rate applies per order, determined by the region you select. The exact amount appears in checkout before you pay, and that figure is the one that binds us. We do not publish rates on this page, because postage changes and a stale number here would be worse than no number.
- Domestic orders ship at a flat rate by tracked USPS service.
- International orders ship at a flat rate per region by tracked post. The rate covers postage only.
- Sales tax, where we are required to collect it, is calculated and shown at checkout.
- Shipping is charged per order, not per item. Adding a second item to one order does not double the postage.

5. Tracking
Every order ships with tracking. You get the number by email as soon as the label is generated, which is usually before the parcel physically leaves, so do not worry if it shows no movement for a day.
International tracking often goes quiet once a parcel leaves the origin country and picks up again when the destination carrier scans it. A gap of a week or more in the middle is normal and is not a sign the parcel is lost. If you did not receive a tracking email, check your spam folder, then email us.
6. Getting the address right
We ship to the address you enter at checkout, exactly as you enter it. Check it before you pay, including the apartment or unit number, which is the single most common cause of a failed delivery.
- Need to change an address? Email us immediately. We can usually change it before dispatch and almost never after.
- A parcel returned to us as undeliverable because of an incorrect address can be reshipped once you pay the reshipping cost, or refunded minus the original postage.
- A parcel refused at delivery, or abandoned at customs and returned to us, is treated the same way.
- We are not responsible for a parcel delivered correctly to an address you entered incorrectly.
7. Import duties, VAT, and customs
International orders ship delivered duty unpaid. The price you pay us covers the product and the postage. It does not include import duties, VAT, GST, customs clearance, or carrier brokerage fees.
- Those charges are set and collected by your own country, not by us, and are usually payable to the carrier on or before delivery.
- They are your responsibility as the importer of record. We cannot calculate them in advance or reduce them.
- We declare the accurate value and contents on the customs form. We will not undervalue a parcel or mark it as a gift, because that is customs fraud and it puts you at risk, not just us.
- If you refuse to pay the charges, the parcel is destroyed or returned, and any refund follows section 6 above.
Duties and VAT you have already paid to your government are not refundable by us. Depending on your country you may be able to reclaim them directly from your customs authority if the goods are returned or refused.
8. Restricted destinations
We cannot ship to countries subject to comprehensive US trade sanctions, or to anyone on a US restricted party list. The product contains encryption and export-controlled software, so some destinations are unavailable regardless of postal service. See the export controls section of our Terms.
Some countries restrict the import of encrypted devices. If you are ordering to one, or travelling with the drive, complying with local import and encryption rules is your responsibility.
The drives we ship contain no lithium batteries, so no dangerous goods restrictions apply and they travel by ordinary air post.
9. Delays, lost parcels, and damage
- Tracking has not updated for 7 business days domestically, or 21 for international: email us and we will open a trace with the carrier.
- Tracking says delivered but nothing arrived: check with your household, neighbors, and building office first, since carriers frequently scan early or leave parcels with a manager. If it is still missing, email us within 14 days of the delivery scan so the carrier will still accept a claim.
- The parcel arrived damaged: photograph the outer packaging before you open it, then email us within 7 days. Photos of the box are what the carrier requires and they cannot be recreated afterwards.
- The drive itself is faulty: this is covered by the warranty, not by shipping. See the returns policy.
Where a parcel is confirmed lost in transit we replace it or refund you in full, our choice, at no cost to you.
10. Title and risk of loss
Title and risk of loss pass to you when the carrier takes possession of the parcel. In practice we still stand behind a parcel lost or damaged in transit, as set out in section 9, but legally the goods become yours at handover, which is what determines who files a carrier claim.
11. Returns
PortableMind is sold like boxed software: an unopened unit can be returned within 30 days, a broken seal ends the return right, and a defective unit is always covered. International orders are final sale for change of mind, though damage and non-delivery claims still apply.
